Wedding Coordination Details

Who It's For

  • Couples who have already booked their venue and key vendors and have a vision for their day, but need an expert to build the timeline and task lists, coordinate vendors, and execute flawlessly on the big day – so you can actually enjoy your wedding instead of working it.

What's Included

  • Expert Advisor
    • I can tell you what normally happens at events, and how to buck those traditions to make this celebration your own.
    • I’m here to act as a sounding board – providing advice, suggestions and referrals whenever helpful. My goal is to design an event that celebrates the essence of you, and create a space that both welcomes and dazzles your guests.
  • Regular Check-Ins
    • I’ll schedule regular check-ins to keep you informed yet unencumbered. This will usually be an email with top priorities and action items listed, but every so often we’ll hop on a video call, or meet for a venue tour, or we can grab coffee in person if that sounds fun.
  • Event Plan & Timeline
    • I’ll build a custom timeline that clearly outlines all of the important dates, times, key players, vendors, and setup lists. Two weeks before your event, I’ll send a Basic Timeline to each of your vendors and VIPs as necessary.
  • Contact List
    • I’ll build a Contact List of names, phone numbers and emails of all of your event vendors and VIPs.
  • Vendor Management
    • I’ll identify, get quotes from, and recommend any big contracted vendors, and then I’ll be the direct point-of-contact for each vendor leading up to and during the event, so you can party in peace.
    • I’ll review any and all event-related contracts, and let you know if anything stands out. This will also help me prepare for any potential surprises.
  • Budget Breakdown
    • I’ll work with you to build a full event budget breakdown, using my budget allotment templates. Your budget breakdown will be tailored to your unique event and vision, and allows us to track expenses as we go to make sure we stay within budget peacefully.
  • Event Design and Planning
    • With this full Event Planning package, I provide complete event design and decoration services. I’ll send style inspiration to you for review and approval – based on how involved you want to be in the planning process. The point is that you don’t need to know how to translate your vision into tablecloth colors that contrast nicely with the napkins, or research a bunch of suppliers to find the best price on LED string lights. I’ll handle all of that.
  • Graphic Design Services
    • I also provide custom graphic design and production management as part of the full Event Planning package. This includes the Save the Dates, Invitations, Programs, Menus, Place Cards, Signage, Event Site setup, Guest Giveaways, Favors etc. – included! That’s a good deal.
  • Floor Plan
    • I am happy to help set the layout and flow of any spaces for your event, and will work alongside your venue, caterer or other vendors to make sure all parties are pumped with the event flow.
  • Venue Tours
    • I’d love to join for any in-person venue tours – both early and final visits. If I can’t join you, I’ll prepare any questions for the venue ahead of time to make sure your visit is as efficient as possible.
  • Reliable Scapegoat
    • Use me as an excuse, baby. If family dynamics get tricky, feel free to use me as a scapegoat to keep things moving along. Just be sure to clue me in so we keep our stories straight. Make no mistake, I’m on your team.
  • Coordinate Your Big Day!
    • With my Event Planning package, you have me for up to (7) hours day-of to handle everything and anything so that you can enjoy your day and not think about any details.
    • Most clients choose to have me work from event setup through any key event milestones, and have me leave before teardown – assigning a few attendees to wrap up, gather family items, and take out the trash. However, I’m happy to stay through teardown if you prefer.
    • Anything over (7) hours day-of is billed at $150/hr.
  • Emergency Kit
    • I carry an Emergency Kit with me at all events and the contents are available to you, your guests, your granny, and vendors for free. Think everything from duct tape and safety pins to tylenol and breath mints.

  • $3,500-4,000 (depending on the location(s), season, and complexity of the wedding)
